The challenge
A field request process relied on manual routing and informal follow-up. Requests could move through email, spreadsheets, and individual handoffs, making ownership, status, approvals, and audit history harder to track.
My role
I analyzed the current workflow, clarified decision rules and stakeholders, designed the future-state process, and implemented a standardized approval workflow using Microsoft Power Automate and supporting Microsoft 365 tools.
Approach
- Mapped request intake, decision points, required data, approvers, and exception paths.
- Standardized fields and validation rules to improve request quality.
- Configured routing, notifications, approval logic, and status tracking.
- Documented the process and created user guidance for requesters and reviewers.
- Supported rollout, feedback, and iterative refinement.
Outcome
The automated workflow replaced manual routing with a repeatable process that improved ownership, visibility, traceability, and consistency. It also created a stronger foundation for reporting and future process refinement.
